Track administrative meeting commitments

Assign the operational follow-ups agreed in a practice meeting while keeping clinical records in their existing system.

A practice administration meeting ends with supplier calls, staffing coordination and office tasks. Give each commitment an owner and date without mixing clinical records into the example.

Before you start

Use an authorized workspace with readable calendar events and the Meeting preparation and Meeting commitments plugins enabled. Both plugins start disabled. Confirm the meeting exists in the workspace and choose valid task assignees.

Work through this example

A fictional practice team agrees to confirm next week’s front-desk coverage and update patient-facing opening hours.

Record. Use the stored administrative meeting and separate the coverage check from the hours update.

Assign. Give the practice manager the coverage task and the authorized site editor the approved hours change.

Check. Inspect the agreed rota and published hours before completing their tasks. Keep patient details in the approved clinical system.

Complete the workflow

  1. Run Meeting preparation from Plugins to find upcoming, non-cancelled meetings in its 48-hour window. Open the source meeting and review the customer context.

  2. After practice administration review, agree the next steps with the team. For this example: Confirm a supplier delivery; update an office checklist; arrange the next staff discussion.

  3. Open Meeting commitments, select the stored meeting and enter the agreed tasks with descriptions, due dates and valid assignees. A plan supports one to ten tasks.

  4. Choose Review workflow, then Request approval. Inspect the source, dates and owners before selecting Approve & create tasks.

  5. Inspect the execution result and open the created tasks in Tasks & approvals. Complete or update them as the commitments are fulfilled.

Check the result

What to check

If the meeting is missing, check the calendar connection and source record. If a preview becomes stale, prepare it again. The preparation report identifies meetings; research or transcript extraction needs an additional implemented step. Enter the agreed checklist explicitly for this workflow.
